Monthly Travel Reimbursement Policy for Supervisors of Student Teaching/Internship/Practicum/Cohort

Personnel assigned to supervise students completing their student teaching, internship, practicum, and/or cohort are required to travel to assigned worksites. To offset the cost of travel, reimbursable travel miles may be recorded and submitted on the appropriate form.

Reimbursable Travel Miles

Reimbursable travel miles under this program include the miles accrued in the course of a person’s “assigned” job while  directly supervising students who are student teachers, interns, or participants in a cohort or practicum.

  • An employee who drives from her residence to an assigned work site and returns to her residence is reimbursed for this distance.
  • An employee who drives from his office to an assigned work site is reimbursed for this distance if it is shorter than the distance from his home. (The shorter of the two distances should be recorded for reimbursement.)
  • An employee who has more than one office (e.g., district office and BYU) calculates the distance from the office closest to the work site.
  • An employee who drives between or among multiple assigned work sites will be reimbursed for these distances.

Some work-related travel miles are not reimbursable under this program.

  • Commuting miles, defined as travel from one’s residence to his place of employment, are not reimbursable under any circumstances. 
  • Travel miles that are not incurred in the course of directly supervising student teachers, interns, or cohort/practicum students must be submitted to the district office, department, or program in which the individual is employed.

1.  From home to the office (BYU, district office, your classroom) and back home--do not claim

2.  From home to the office, to one school, and back home

  • From home to the office--do not claim
  • From the office to one school--claim
  • From one school to home--claim the shortest distance ( e.g., if the difference from the school to the office is 5 miles and the distance from the school to home is  2 miles,  claim 2 miles)

3.  From home to the office, to more than one school, and then back home

  • From home to BYU--do not claim
  • From BYU to one school--claim
  • From one school to the next school--claim
  • From the last school to home--claim the shortest distance (school to home or school to office)

4.  From home to one school and back home

  • From home to one school--claim the shortest distance, home to school or office to school
  • From one school to home--claim the same as above

5.  From home to more than one school and then back home

  • From home to first school--claim the shortest distance (home to school or office to school)
  • From one school to the next school--claim
  • From the last school to home--claim the shortest distance (school to home or school to office)
